The way we work is evolving, and Microsoft Copilot Agents are leading the change. As we already shared in our previous material, these AI-powered assistants streamline repetitive tasks, provide intelligent recommendations, and help you focus on what truly matters. But what are these agents really made of and how do they work to provide these benefits. Let’s dive into the world of Copilot Agents and see how they bring AI to life inside your business.
Types of Copilot Agents
Although Copilot Agents are here to increase your productivity and assist you in your daily tasks, they are not the same. Integrated straight in the web and standalone version of the Copilot app, Microsoft has designed different types of agents to match the unique needs of every organization, from everyday users to advanced enterprise teams. Whether you’re automating reports, enhancing collaboration, or building custom workflows, there’s a Copilot Agent built for you:
- System Agents – Prebuilt and ready to use, agents such as Researcher and Analyst help handle everyday tasks like summarizing emails, preparing reports, and managing sales data across Microsoft 365 and Dynamics 365.

- Custom Agents – Created through Copilot Studio, these agents allow you to design tailored solutions using low-code tools. You can define triggers, connect data sources, and build process-specific automations without writing complex code.

Team Collaboration Scenarios – While not a formal category, Copilot can be configured to enhance collaboration in Microsoft Teams – scheduling meetings, tracking tasks, and sharing updates.

- Connected Workflows – Agents can integrate across multiple systems using Power Platform connectors or orchestration features in Copilot Studio, enabling end‑to‑end automation. They can also trigger deterministic Agent Flows for critical steps (approvals, postings, notifications) and hand off sub‑tasks to specialized agents when deeper expertise is needed. Because integrations inherit Microsoft 365 governance and permissions, every action is auditable, policy‑compliant, and traceable across the entire process.
How to use Copilot Agents?
After you choose the most applicable Agents for your organization, it is time for action. Here is how to put them into the daily use:
- Spot your opportunity – Firstly, you should be aware why you want to use Copilot Agents. Identify repetitive, error-prone tasks that can be improved or aligned with existing prebuilt agents. Examples: invoice approvals, follow-up reminders, report summarization, scheduling, or even project coordination.
- Pick or build an Agent – Here you have two options. You can start with a pre-built agent in case Microsoft or partners already cover your scenario. If not, you can use Copilot Studio to customize or build a declarative agent. You define its actions, knowledge, workflows, and triggers.
- Configure the Agent – Set up your Copilot Agent to work seamlessly within your business environment by defining when it should run, connecting it to essential data sources like Dynamics, SharePoint, or internal databases, and setting clear permission levels. You can also enable generative AI capabilities, allowing the agent to intelligently adapt and provide contextual responses based on your organization’s data and workflows. At this stage, you can also specify exactly how the agent should behave by writing clear instructions such as guidelines, rules, preferred tone, or step‑by‑step actions it should follow. For example, you can tell the agent how to prioritize tasks, which data to reference, what exceptions to flag, or how to communicate results back to users, ensuring it acts consistently and reliably across different scenarios.
- Train & Test – Agents learn from your interactions. Start with a small scope, test its decisions, correct where needed, and gradually expand. The smarter your data, the better the agent.
- Deploy & Scale – Introduce the agent to more users, departments, and contexts (Teams, meetings, Dynamics modules). Add more actions, let agents call each other, and refine over time.
